Advice and answers from the Restaurantology Team

The Scan and Match Data feature in Restaurantology’s managed package provides powerful capabilities for data mapping and matching. This article is designed to guide admins through the process of using the Scan and Match Data’s discard feature effectively. You will learn how to temporarily discard records, permanently discard records, and restore previously permanently discarded items.

[01]Temporarily Discard Records

To temporarily discard records in the Scan and Match Data feature, follow these steps:

  • Individual Discard: Select the desired record within the Scan and Match Data interface. Locate and click the “Temporarily Discard” button associated with the record. This action marks the record as temporarily discarded.
  • Bulk Discard: If you need to discard multiple records simultaneously, select the desired records within the Scan and Match Data interface. Use the provided action option at the bottom of the screen to temporarily discard the selected records together.

Note: Temporarily discarding a record means that it will no longer be considered in the existing cached data. These records will be restored when the existing cache is emptied and a new cache is created through a refreshed indexing scan. This feature is particularly useful for items that will be assessed in the future but are not part of the immediate data matching exercise.

[02] Permanently Discard Records

Similar to temporarily discarding records, admins can permanently discard records when necessary. Follow these steps:

  • Individual Discard: Within the Scan and Match Data interface, select the desired record and locate the “Permanently Discard” button associated with it. Click the button to permanently discard the record.
  • Bulk Discard: To permanently discard multiple records simultaneously, select the desired records within the Scan and Match Data interface. Utilize the provided bulk action option at the bottom of the screen to permanently discard the selected records together.

Permanently discarded records remain discarded despite refreshed caches or future indexing scans. This option is commonly used when a record does not meet an existing Ideal Customer Profile (ICP) requirement, such as size, service type, location, or other defined criteria.

[03] Restore Permanently Discarded Records

Users have the ability to review and update items that were previously permanently discarded. Follow these steps to restore permanently discarded records:

  • Access the Restore Discarded Items Interface: From the Restaurantology App Home screen, locate and access the interface dedicated to reviewing and restoring discarded items.
  • Review Permanently Discarded Records: In the interface, review the list of previously permanently discarded records. Assess each record’s suitability for restoration based on any changes in business requirements or data quality.
  • Restore Items: Select the desired records and utilize the provided restoration action, such as a “Restore” button or checkbox selection, to bring the records back into consideration.

By following these steps, you can restore previously permanently discarded records and incorporate them back into the data matching and mapping process.
